I learned this the expensive way

In September 2022, I submitted a $3,200 order for what I described as "the usual Mölnlycke dressings." Forty boxes of Mepilex Border, 4"x4", which we stock in central supply for the wound care team.

What arrived was Mepilex Transfer. Similar name. Completely different dressing. I'd pulled the product code from a 2020 purchase order without checking whether the line item had changed. In my defense, the names look nearly identical on screen. But "in my defense" doesn't help when you've got forty boxes of unusable product and a clinical director who's understandably annoyed.

The restocking fees ate $2,100. The actual product took another week to arrive. And the uncomfortable conversation with the wound care director is one I'll remember for a while.

That was my eleventh documented purchasing mistake in three years. Six years in, the total is now 23 errors and roughly $47,000 in wasted budget. The pattern behind those numbers is what I want to talk about, because it applies well beyond Mölnlycke products.

Brand-faith vs. spec-driven: two ways to buy medical products

Here's the comparison that frames everything I've learned in procurement. There are two mental models people use when ordering medical products, and they produce very different outcomes.

The brand-faith approach. "Mölnlycke makes excellent wound dressings. I'll order Mölnlycke and we'll be fine." This works until it doesn't. Mölnlycke health care products span multiple distinct lines – Safetac silicone foam dressings, silicone scar sheets, alginates, Biogel surgical gloves, Barrier drapes and gowns. Each line has separate SKUs, sizes, and clinical indications. "Mölnlycke" alone doesn't get you to the right product.

The spec-driven approach. "I need a bordered silicone foam dressing, 4x4, that the wound care team approved. Let me look up the exact product code." The brand is still Mölnlycke. But you're confirming the specification rather than assuming the brand name is sufficient.

The same dichotomy exists in lab equipment. A mass spectrometer isn't just a mass spectrometer – the specification includes mass range, resolution, detector configuration, and ionization source. A PCR machine comes with specific thermal cycling capabilities, fluorescence detection channels, and throughput requirements. I watched a research coordinator request "a PCR machine" without specifying these parameters, and the quote that came back was for a model that couldn't detect the dye chemistry their protocol required.

What was best practice in 2020 – "order from the same catalog page as last year" – simply doesn't hold up in 2025. Product lines evolve, SKUs change, and manufacturers revise specifications constantly. Mölnlycke Health Care US included.

Where the two approaches diverge

SKU verification vs. brand recognition

The most embarrassing mistake I've made as a procurement professional happened because I recognized the Mölnlycke brand but not the SKU. In my first year (2019), a clinician asked for "that Mölnlycke foam dressing we use for chronic wounds." I ordered Mepilex. The product they actually used was Mepilex Border, because the adhesive border is what keeps the dressing anchored on a sacral wound.

Mepilex and Mepilex Border are not interchangeable. I don't know whether the clinician was being loose with terminology or expected me to know the difference. It doesn't matter. The verification step is mine, and I missed it.

This pattern shows up everywhere. Ordering a "mass spectrometer" without specifying the detector type is how labs end up with an expensive instrument that doesn't run their methods. Ordering a "PCR machine" without confirming the fluorescence channels is how a molecular lab gets blindsided. In every case, the root cause is the same: brand or category recognition standing in for specification verification.

Commodity products vs. sole-source devices

This is the dimension that surprised me. I assumed that products with more vendor options would be harder to manage – more choices, more risk of picking wrong. In practice, I've found the opposite.

Mölnlycke products are available through multiple authorized distributors in the US. The purchase decision has options: you can compare pricing, verify product availability, and switch vendors if the service is poor. Your main risk is SKU selection, but you have tools to manage that risk.

A vagus nerve stimulator flips the dynamic completely. It's a sole-source implantable device in most markets. There's no comparison shopping, no distributor network, no substitute product. The procurement risk isn't selecting the wrong spec – it's supply chain fragility: long lead times, single-manufacturer dependency, and the clinical coordination required if a component is delayed. One scheduling slip can delay a patient's surgery. That's a different kind of pressure.

The lesson I took from this: don't apply a one-size-fits-all procurement process. The spec verification that protects you on wound dressings won't save you on sole-source implants, and the relationship management that matters for implants is almost irrelevant when you're reordering Mölnlycke Barrier drapes. To be fair, I had to learn this by doing it wrong for several years.

Habit reordering vs. annual verification

Here's a mistake pattern that keeps showing up even after I "learned better: " I'll do a thorough spec review once, then order on autopilot for two years. It's not laziness. It's the genuine belief that an order that was correct last time is probably correct this time.

Then the manufacturer changes a product name. Or discontinues a SKU. Or a clinician updates the protocol without telling procurement. And suddenly my "same as last time" order is wrong in a way that costs money and delays care.

I hit "approve" on one of those autopilot orders and immediately felt that knot in my stomach – did I actually check the line item, or did I just assume? Didn't relax until the delivery arrived. And then only until I opened the carton.

In Q1 2024, after the third rejection of a Mölnlycke health care products order in six months, I built a pre-check spreadsheet. It forces line-by-line verification for every order, even reorders. Nothing gets submitted until someone confirms each product code against the current manufacturer catalog. It's tedious, and I hate how much it slows down the process. But we've caught 47 potential errors in 18 months using it, and the avoided cost is north of $35,000.

The same checklist now applies to lab equipment consumables, mass spectrometer service contracts, PCR machine reagents – anything that flows through our department. The fundamentals haven't changed, but the execution has transformed.

What I'd tell someone starting in this role

If you're new to medical device procurement, here's the practical advice I'd give – the stuff I wish someone had told me in 2019.

Order specs, not brand names. Mölnlycke health care products are high quality. The clinical evidence for Safetac technology is real. But an excellent brand doesn't mean every product in the portfolio fits every clinical scenario. Write the specification, then verify the product code against it. Do the same for a mass spectrometer, a PCR machine, or any other equipment purchase.

Know which category you're buying. For competitive products like Mölnlycke dressings and surgical gloves, price and availability are the variables – but SKU accuracy is the real risk. For sole-source items like a vagus nerve stimulator, the risk lives in lead times and supply continuity. Don't confuse the two.

Re-verify "same as last time" at least once a year. Product lines change more than you think. What was current in 2024 may be legacy in 2025. Set a calendar reminder and check every line item you order more than twice a year.

Document your mistakes. It's uncomfortable, and you'll want to move on quickly. But a documented error is a training reference. My September 2022 incident is now part of our new-hire orientation. Nothing teaches the cost of assuming a SKU like a real number.

Granted, this approach requires more discipline and a thicker checklist than the way most of us learned to order supplies. And I'll admit there are some low-risk reorders – a monthly delivery of a stable, documented product – where the full verification process feels like overkill. If you know the product, the vendor, and the protocol haven't changed, you can move faster.

But make sure you know all three of those things before you skip the check.
